CWF Dark Days May 2 and May 9, 2015: History Archive

The Centers for Medicare & Medicaid Services (CMS) has informed CGS that the Common Working File (CWF) will be conducting a history archive. Due to the anticipated duration of this activity and to ensure the completion of the weekly processing and scheduled data center maintenance there will be two CWF dark days. This means that providers will not have access to eligibility information (ELGA and ELGH) at five CWF host sites on Saturday, May 2, 2015, and four CWF host sites on Saturday, May 9, 2015, as indicated below.

All CGS files received from CWF for Friday's cycle (May 1, and May 8) will be completed prior to bringing CWF production down. If, for any reason, files are received late Saturday morning, they will be processed by CWF after the history archive has been completed.

While the CWF Dark Days will impact your access to ELGA and ELGH, it will not affect your ability to access beneficiary eligibility information through myCGS. In addition, the Interactive Voice Response (IVR) will be available.

The oldest claim history maintained after the purge process will be as follows:

Oldest Inpatient Thru Date To Keep On File: 01/01/1966
Oldest Outpatient Thru Date To Keep On File: 02/01/2013 (27 Months)
Oldest Part B Thru Date To Keep On File: 05/01/2013 (24 Months)

Oldest DMERC Thru Date To Keep On File: 05/01/2013 (24 Months)

We anticipate that claims processing will not be affected and will still be processed within the allowed timeframe. As a reminder, the Medicare Claims Processing Manual (Pub. 100-04, Ch. 1, § 80.2.1.1External PDF) states that Medicare contractors have 30 days to process clean claims. While the typical timeframe to process claims is less than this, contractors have the full 30 days from the receipt date of a clean claim to process it.
